The successful candidate will manage the operation of the registration office at Emirates Aviation University (EAU) to ensure the effective day-to-day management of the registry services and functions for all EAU and partnering university programmes. The role holder is responsible for the quality assurance, security and confidentiality of all student records, official academic records and qualifications.
In this role, you will:
- Responsible for ensuring the operation of the Registration Office is in full compliance with the academic, regulatory, accreditation requirements and policies of EAU, Coventry University , Knowledge and Human Development Authority (KHDA) and Ministry of Higher Education. Oversee and ensure that all student academic files/records are accurate, current, and the confidentiality of such records as well as information exposed to in the course of business regarding students, supervisors or other employees is protected.
- To manage the course registrations process which includes the approval of all student applications, as well as the reconciliation and tracking of student credit transfer from other universities ensuring they are validated and aligned with the entry requirements for the Ministry of Higher Education, Coventry University and other accrediting bodies for vocational studies such as Excel, KHDA, General Civil Aviation Authority (GCAA).
- Assist and brief the Dean on current enrolment, offers, intakes and registration numbers for scheduling and resource allocation purposes. Prepare contracts and requisite joining arrangements for consultants.
- To manage the grade submission processes by monitoring and supervising the assessment marking for each cohort. Process and record late submissions, deferrals and absences and apply any applicable mark deductions. Present final submission lists to the Dean and Programme Managers for approval. Ensure marked and evaluated assessments are uploaded to the students portal, EAU's system and Coventry's database.
- Responsible for the moderation and preparation for Coventry University's exam boards during the year. This includes the verification and calibration of students' marks, preparation of the moderation pack for external verification and final report submission. The role holder is also responsible for the internal moderation of assignments and exams.
- To produce, maintain and review the lists of students graduating in Emirates Aviation University or Coventry for final approval ensuring the lists are accurate and complete. Liaise with graduating students to obtain current passport copies to verify names are as passports. Communicate the final graduation lists to Coventry University for degree and transcript issuance.
- To manage routine and ad hoc data reporting functions for EAU's, Business and Engineering schools, and other short term courses. Provide requisite reports on student enrolments, graduations and withdrawals to various local (KHDA and Ministry of Higher Education) and international authorities (Coventry University) and awarding bodies (QAA and GCAA).
- Monitor the monthly student attendance in regards to numbers and class size. Highlight concerns to the Dean and Programme Manager and make recommendations as required.
- Maintain the University Programme catalogues and communicate all changes to the Registration Office staff. Ensure the latest regulations and guidance published by the Ministry of Higher Education and other awarding bodies are fully implemented and details of changes updated in the catalogue.
- Supervise the Registrar Team and liaise with a diverse group of Deans of EAU's Business and Engineering Schools), Programme coordinators and managers across the campus as well as peers at Coventry University to maintain collaborative and effective working relationships.
Qualification
In order to be considered for this role, you must meet the below requirements:
- Degree from a recognised university in a relevant field.
- Experience in an educational institution and include a minimum of 1 year of supervisory level experience in student related administration.

- Excellent command of written and spoken English and Arabic.
- Ability to lead and manage a small team of staff.
- Strong interpersonal, oral and written communication skills.
- Ability to communicate with all levels of management and officials.
