As a Crew Training Support Officer you will need to support and handle all the aspects of the short- and long-term planning and management of the Cabin Crew Training operation and facility. This is to ensure that the cabin crew training plans are produced, and the facility is managed to satisfy the training demand to support the EK operational requirements online. The Officer is responsible for maximizing productivity and effectively utilizing trainers and resources, including SEP simulators, service cabin trainers, specialized rooms, and public areas, without compromising the quality of the learner's experience. The officer will also support in overseeing the daily operations, ensuring the smooth functioning of systems and processes to maintain high levels of efficiency. Contribute to the enhancement, developing and implementing operational processes, as well as planning, coordinating, and executing various projects and initiatives, while ensuring the facility upholds the highest standards of excellence.


In this role you will:

  • Support Cabin Crew Training operations by ensuring that all administrative tasks, planning, and facility management are effectively executed to meet the overall training demands of the business.
  • Build strong relationships with stakeholders (NCC, FTF, SD, Training Disciplines, P&L etc) and external customers by promoting effective communication and collaboration.
  • Assist the Crew Training Support (CTS) specialist in daily operations, serving as the primary point of contact for resolving operational issues to minimize service quality impacts. Identify and recommend opportunities for operational improvements and implement cost-effective solutions, including automation, to enhance the sustainability of the training facility.
  • Oversee the inventory of training materials within the portfolio, ensuring compliance with specifications and quantities based on training demand and company policy. Support the CTS specialist in tracking procurement and accounting processes to ensure accurate record-keeping and timely availability of materials.
  • Provide data for departmental reports and assist the CTS specialist in analysing the data to identify and address gaps in process flows, promoting efficiency and continuous improvement.
  • Actively participate in departmental initiatives and projects to ensure the successful implementation of strategies that enhance Crew training and future-proof operations.
  • Supervise the performance of Crew Training Support Coordinators, ensuring timely and quality completion of tasks. Assist in their development to enhance team competency and effectiveness.

SPECIFIC (General Operations and Facilities)

  • Assist in the management of all the building facilities (classrooms, amenities, and all shared areas). Champion health and safety within the facility, ensuring Fire Wardens, First Aiders are available and prepared for emergencies. Conduct regular routine checks and log discrepancies, taking responsibility for following up with relevant stakeholders to ensure timely corrective actions are implemented, maintaining operational continuity.
  • Assist in managing and maintaining online platforms, ensuring their efficient operation and delivering an optimal user experience.
  • Support the sourcing and procurement of training-related materials and equipment to meet facility requirements. Monitor inventory and functionality of equipment (IT and non-IT assets) and office supplies, ensuring sufficient stock to support uninterrupted operations.

SPECIFIC (Manpower and Resource Planning)

  • Supervise the day-to-day operations of the Ab initio and other courses training administration which includes but not limited to ab initio transport request coordination, learner completion signoffs, ab initio in training re-batching and reassignment of other course (SEP recurrent and upgrade courses).
  • Support the Specialist in managing daily roster and training schedules, ensuring alignment with roster cycles. Assist with tracking crew training footprints and consolidating courses to optimize resource availability and training facility usage.
  • Carry out all Third-Party Training administration support (SEP training/ AVSEC) including resource bookings (SEP simulator facilities and classes). Ensure that the correspondence and all tasks are completed within timelines.

SPECIFIC (Training Facilities - Cabin Services and Specialized classrooms)

  • Assist in the management and audit of all the Cabin Service Trainings and specialised training facilities. Ensure regular routine checks, logging any discrepancies. Responsible of following up with the relevant stakeholders to ensure that timely corrective measure is taken to ensure operational continuity.
  • Facilitate the catering order requirements for all the Service Delivery training courses. Oversee the end-to-end catering process (from ordering to verification of invoices), working closely with the service delivery and design team, to ensure accurate billing.
  • Assist with the ongoing monitoring of risk assessments for all CSTs and support the CTS specialist in completing the risk assessment reports.


Qualification

To be considered for this role, you must meet the below requirements:

  • Hold a degree in Business Administration or 12 years schooling plus a higher Diploma in a related subject.
  • Have 5+ years experience in facilities management and administration. Experience in supervising a team is an advantage.


Knowledge/Skills:

  • Excellent communication skills in written and spoken English.
  • Knowledge in MS office is required.
  • Have experience in working with learning systems and other IT operating systems/ hardware in a complex and highly operational learning environment.
  • Strong organizational skills.
  • Other languages besides English are a plus but not required.
