As a Facilities Supervisor you will be responsible for supporting back office services, responding to queries in line with company policy. Deliver a high standard of customer services to maintenance and accommodation related inquiries received through phone calls and walk-ins.


In this role you will:

  • Provide administration support related to day to day operations. This includes any other tasks assigned by the line manager. Escalate issues to LM if unable to resolve complaints within the required scope. 

Allocation

  • Manage accommodation allocations, relocations, transfers, opt-in/opt-out requests and furnishing allowances in line with company policy.
  • Coordinate temporary accommodation and hotel bookings for new joiners and business requirements.
  • Maintain accommodation waiting lists, conduct new joiner accommodation briefings and manage check-in/check-out activities.
  • Administer accommodation-related end-of-service and exceptional cases. 

Happiness Centre

  • Provide professional support to employees through calls, emails and walk-in enquiries relating to accommodation and maintenance.
  • Monitor Maximo service requests, follow up customer enquiries and complaints, and ensure timely resolution.
  • Maintain a professional reception environment and prepare regular reports to support service improvement. 

Turnaround / Quality Assurance

  • Coordinate accommodation assessments, preparation and maintenance activities, ensuring contractor performance meets agreed SLAs and KPIs.
  • Validate occupant charges, coordinate maintenance works and monitor task completion.
  • Verify invoices, process MREs and GRNs, and manage asset transfers and disposals within Oracle.
  • Update Bayti tasks and monitor contractor performance, supporting annual contract reviews.

Admin and Planning

  • Coordinate DEWA, Etisalat and du services, including connections, disconnections, reconciliations and payment processing for Company-owned and leased properties.
  • Reconcile utility, telephone and temporary accommodation invoices to ensure accurate and timely payments.
  • Maintain inventory and asset records, ensuring system accuracy. 

Admin and Planning

  • Prepare communications, circulars and project documentation, ensuring approvals are obtained prior to distribution.
  • Coordinate IT service requests and maintain project files, contracts, agreements and confidential records.
  • Process project and contract payments, monitor attendance, leave, overtime and car park allocations.
  • Manage office supplies, First Aid inventory and raise Material Requisition Entries (MREs).

Maintenance

  • Monitor maintenance requests, ensuring timely completion within agreed KPIs.
  • Coordinate repairs, replacements and escalated maintenance issues with contractors and relevant stakeholders.
  • Manage asset transfers, invoice verification, MREs, GRNs and maintenance documentation.
  • Administer petty cash and support annual maintenance contract renewals, including SLA reviews and contractor performance evaluations.

Sustainability

  • Develop and implement sustainability policies and procedures to enhance environmental responsibility across Facilities Management.
  • Support Corporate Social Responsibility objectives by identifying, coordinating and delivering sustainability initiatives with internal and external stakeholders.
  • Monitor energy, water and waste performance through reporting and analysis, implementing corrective actions where required.
  • Prepare waste management reports to drive waste reduction and increased recycling.
  • Raise project requisitions, process GRNs and maintain sustainability records.
  • Partner with Corporate Communications and contractors to deliver sustainability awareness and employee engagement initiatives.
  • Identify sustainability risks, recommend mitigation measures and highlight opportunities to improve organisational sustainability.

Generic across TQA, ADP-Billing, ADP, Happiness Centre, Allocation Team and Maintenance

  • Take prompt corrective action on customer feedback received through the feedback portal within agreed KPIs.
  • Process miscellaneous payments and deduction charges accurately within company systems.
  • Action system requests within agreed service levels and KPIs.


Qualification

To be considered for this role you must meet the below requirements:

  • Degree or Honours. 
  • 5 years experience in property management, with at least 2 years in a supervisory role. 
  • A good telephone manner is essential, as is the ability to communicate well in English. 
  • Knowledge of the commercial property market in Dubai and experience in the property management and maintenance industry. 

 

You will have an edge if you have knowledge of the working processes of the Dubai Municipality, Land Department (RERA) and Chambers of Commerce is desirable.
