As a Transport Officer you will need to provide highly effective Fleet Management services to the Emirates Group so that all fleet vehicles are available when needed in a safe and roadworthy state. Manage and direct total repairs/ maintenance of the fleet of company vehicles cost effectively, develop policies regarding maintenance of Company cars, implementation of maintenance schedule and ensuring 100% percent roadworthiness within the Regional safety standards of all vehicles. Direct and control the activities of Fleet operation through efficient systems and processes of Fleet Management to ensure cost-effective use of resources and to provide high-quality service to customers.


In this role you will:

  • Manage independently the induction of vehicles in the EK Group Fleet
    Collaborate with P&L, Agency and insurance department to organize Purchase Order, pre delivery inspection, insurance and registration of vehicle on priority. Subsequently arrange fuel card & Salik tags. On completion of this process append all relevant details in the Fleet Management System for ongoing monitoring through the lifecycle of the vehicle.
  • Forecast fleet requirements by Group customers produce a leasing programme and proactively keep the lease Agency intimated in advance on budgeted & replacement requirements for next quarter and ensure the required models are made available without any delay or disruptions.
  • Quality control
    Job holder is responsible for an overall quality programme covering Fleet vehicles. This will include Group's quality control of all vehicle repair orders by randomly testing and evaluating repair work performed by the Agencies and w/shops. As and when required conduct joint road tests with the Agencies, W/shops to translate technically the issues faced by the user in peculiar cases. Follow up with the workshops to ensure that work is completed with the least downtime & without compromising quality and thus save cost of hiring of vehicles. Where appropriate suggest alternative solutions to minimize repair costs.
    To develop in collaboration with Flight Crew operations team a program to ensure optimum serviceability of flight Crew fleet which includes vehicles interior, exterior and mobility.
  • Emirates Group Fleet records
    Manages and directs the supervision of records maintenance regarding vehicle usage, repairs, fuel, and govt. department permissions. This entails effective managing and utilizing the CSTMS (Central Services Transport Management System). Recommend from an operations perspective enhancements to IT systems functionality and maintenance of the system.
    Ensure all records relevant to Company owned and leased vehicles are updated in CSTMS promptly and accurately. Organize vehicle registration and insurance renewals and fines settlement without any delays.
  • Fleet vehicle repairs & maintenance
    Independently plan, schedule and direct day to day operations of repairs/ maintenance of fleet of vehicles of EK Group through company appointed workshops and / or Agencies as also for leased vehicles. Negotiate with service advisors for provision of replacement vehicles in case where service time exceed a specific period, else attempt to prioritize repairs of EK Group vehicles.
    Assist transport Manager to critically diagnose the repair requirements, analyse cost for major repairs with a view to evaluate the effectiveness of undertaking the repairs from long term perspective and recommends to his superiors whether to repair or dispose which ever is more beneficial.
  • Accidents management - collaborate insurance / police
    Advise Fleet users on police reporting, insurance claim forms and submit all relevant documents to the insurance department. Manage the approval process for speedier repairs and through contacts ensure the vehicle repairs are undertaken on priority. Organize suitable replacement vehicle of similar status for staff.
  • Upload of Electronic data
    Responsible for obtaining electronic data from Service providers with regards to the maintenance, fuel and tyre replacements at the beginning of every month, edit and eliminate errors, if any, and upload the same into CSTMS without any delay. Input other Agency invoices manually.
    Scrutinize invoices before submitting it to superiors for payment
  • Operational level liaison with government departments
    Responsible for arranging all relevant documents/Artworks/Livery from Corporate Communication, w/shops, third parties necessary for submission to RTA/CID to obtain legal approvals and ensure corresponding changes are incorporated on registration cards to complete the process. Ensure renewals are carried out on time to avoid penalties.
  • Management of Traffic Fines
    Track on a monthly basis all fines on company owned and leased - assigned / pools cars.
    Source from RTA the details and allocate to respective company car users in case of assigned cars.
    Job holder needs to be extremely careful in allocating fines received on pool cars - as such cars are used by several staff during a day - identify based on allocation logs the user and organize salary deductions through Payroll. Handle independently discrepancies, if any, when required.
  • Introduction to staff on company car usage policy
    Advice users on Company vehicle usage policies in detail relating to fuel uptake and features of a fuel card, driver responsibility for traffic infringements, toll usage, repairs / accidents procedures and maintenance booking & schedule, vehicle abuse/misuse etc.
    Be the first point of contact for all company car users, EK.03 to EK.10 - and ensure timely action on requests for repairs / maintenance & other queries etc. Responsible for handling user enquiries, resolving complaints diffuse difficult situations with tact & ease.


Qualification

  • Knowledge of UAE Government rules & regulations in respect of vehicle registration, driving licenses, toll administration, and advertising licenses
