As a Mailing Fulfilment Officer, you will plan, direct and control the a network of Corporate mailing & production of Customer Loyalty Programme (Skywards) related packages, letters /other mail shots for distribution within UAE /Out stations ensuring cost effectiveness of each delivery and customer satisfaction. This would involve supervision and organising the assembling of packages, printing of tags/cards and actual despatch of items produced, including liaising with external service providers for timely and cost effective despatch. To ensure that all administrative processes at the Mailing /Fulfilment Centres are carried out in a smooth, effective, efficient and timely manner that meets service excellence governed by ISO standards.


In this role, you will:

  • Ensure that all agreed administrative policies, procedures and protocols in the Mailing /Fulfilment Centres are recorded and communicated to the staff and outside parties such as company appointed Courier service providers including Government agencies ?Postal authorities UAE /Singapore /UK /Australia on a timely basis/as and when required. Make recommendations to Facilities Mailing/Fulfilment Manager for improvements and re-engineering of administrative systems and procedures. To manage the introduction of agreed changes.
  • Develop and monitor standards of fulfilment packages, the quality of stationery printed/cards and ensure that all procedures are operated effectively within the section. Working closely with CLP management to ensure consistency. Introducing quality checks in the packaging process to eliminate incorrect product packaging.
  • Investigate, analyse and develop full-proof procedure in specific cases where there is error in card printing, assembling of collateral in conjunction with Technical Supervisor-FC. Despatch by courier or mail and also assist in ensuring correct customer information is updated in the CRIS system.
  • Control ordering and stocking with internal departments such as P&L (NA) and other external suppliers to ensure cost effectiveness. Items ordered include CLP related packages, office equipment and consumables. Recommend ways of reducing cost of ensure delivery of such requested items are correct and match what has been ordered. Directly liaising/negotiating in conjunction with procurement for bulk despatch through FedEx/Empost to ensure prompt service. Ensure tracking of shipments to ascertain package being delivered on time
  • Supervise, plan, organise and allocate the job functions to the team members. Ensure all collateral fulfilment materials are available on a daily basis and this would call upon storage of stock accordingly to the categories of items. Maintain, track and update records of the storage to ensure production process is not hindered on account of lack of materials. Review the production process and identifying areas where improvement can be made. Identify and recommend cost effective options and improvements in the work flow process. Assist Line Manager in the preparation and finalisation of Mailing/Fulfilment budget and constantly review the cost reports with a view to manage the budget effectively.
  • Manage the overall administrative areas like attendance, overtime, timely repairs to machines, budgeting etc. Prepare monthly statistical reports of the jobs completed, tracking done and discrepancies in the workflow. Analysing the data for further improvement and cost effective measures. Periodically evaluate MyBC (MY business contributions) of the direct reports /staff. Schedule timely training for their development and organise refresher course for further enhancement.
  • Ensure adequate maintenance of premises and equipment, making sure that repairs are effected quickly, production safety standards met and that premises are kept clean and tidy at all times.
  • To monitor the iTrack (Mailing Application) to ensure uninterrupted mail sorting /data input process 24 x7 and to guide /support distribution team. Additionally responsible to co-ordinate on performance / productivity of the u-book (Courier application) and manage its software / hardware issues including IT developments with internal IT team/Swiss Post (external developer) to avoid or minimize downtown of the system.




Qualification

To be considered for the role you must meet the below requirements:

  • Diploma is production would be an advantage 5 years of significant experience in a similar field.
  • Able to work independently.
  • Ability to evaluate and make timely, cost-effective decisions.
  • Ability to understand technical specifications of printing and embossing machines. Trained in similar category. Good command of English written and spoken.
  • Additional knowledge of Asian languages would be an advantage.
  • In-depth knowledge of the products and effective skills to supervise a work unit. Familiar with MS Word, MS Excel, PowerPoint and MS Access.
  • Valid UAE Driving licence.
